The Client

Our client is a London-based interior design and project management studio working from Marylebone. The studio designs high-end residential, hospitality and developer-led interiors, from country estates and landmark hotels to private London homes, with an inherent sense of place.

It is a business built on craft, collaboration and discretion. Designers work daily with architects, makers, suppliers and installers, on projects that are often highly confidential and commercially sensitive long before they are ever photographed.

Our Role

Cloudscape is the studio’s IT partner service desk, cyber security, cloud and long-term direction through our vCIO (Virtual IT Director) service. We work as an extension of the studio rather than a supplier at the end of a phone.

When the studio outgrew its previous home, the brief that came our way went further than a standard IT relocation: project manage the entire move. We took on the technical programme end to end, bringing our own electrical, cabling and mechanical teams alongside the studio’s furniture vendors and interior design team, and delivered the fit-out of a working studio that doubles as a client-facing showroom.

Challenges

  • One move, many trades electrical, cabling, mechanical, furniture and interior design all running against a live design programme
  • A studio that is also a client showroom, where technology had to be invisible until it needed to be impressive
  • Moving terabytes of design files, renders, CAD and photography without pausing live projects
  • Protecting confidential material for private and high-profile clients, under NDA
  • Satisfying developer, insurer and supplier due diligence before contracts are signed
  • Support that keeps pace with a team working across the studio, client sites and installations
  • Knowing what is coming next, not just what is broken
  • Getting genuine value from AI without putting client data at risk

Solutions

  • Cloudscape appointed as single technical project manager, with electrical, cabling and mechanical teams delivered to one plan, coordinated alongside the studio’s furniture vendors and designers, and CDM 2015 duties mapped and documented throughout
  • Design-led infrastructure: concealed containment, joinery-integrated AV and Teams Rooms, and a dedicated automation zone for lighting, blinds, climate and audio that the team can demonstrate live to clients
  • A phased migration into a restructured SharePoint and OneDrive estate with clear project libraries and version control, with cutover run out of hours across a single weekend
  • Microsoft 365 Zero Trust foundations conditional access and MFA, Intune-managed devices, Microsoft Defender for Endpoint and Office 365, and Purview sensitivity labels applied across client project libraries
  • A UK GDPR governance refresh, NDA-aligned access controls and an ISO 27001-aligned policy set the studio can share on request
  • A service desk with priority response and out-of-hours cover, proactive monitoring, and Cloudscape engineers on site throughout move week
  • Quarterly vCIO reviews, technology alignment assessments and a costed three-year technology roadmap owned jointly with the studio’s directors
  • A Microsoft 365 Copilot readiness programme covering permissions and oversharing remediation, data lifecycle policies, an AI acceptable-use policy and a piloted rollout with adoption coaching

Business Impact

  • Completed the studio relocation with zero working days lost, allowing live projects and production activities to continue uninterrupted throughout the move weekend.
  • Reduced the average time to resolve support issues by 46% compared to the pre-move baseline.
  • Achieved an 81% first-contact resolution rate, enabling the majority of issues to be resolved during the initial user interaction.
  • Reduced support tickets per user by 38% following the migration and device standardisation programme.
  • Maintained 99.98% availability across the studio network and Microsoft 365 services during the first 12 months after implementation.
Client testimonial

Don’t just take our word for it

“We design spaces for a living, so we were never going to accept cables on show or a comms cupboard nobody wanted to open. Cloudscape got that immediately. They ran the technical side of the move as if it were one of our own projects — to the drawing, to the programme and with the same attention to detail we’d expect from any of our trades. We moved on a Friday and were designing again on Monday, in a studio we’re genuinely proud to show clients.”
