Answers to the questions we're asked most often
Do we have to take all four services, or can we start with just one?
You can start with one. Most clients begin with either Managed IT or a single project – a cloud migration, an office fit-out – and add IT Advisory or Cyber Security later once the day-to-day is stable. The four disciplines are built to work together, but they are not a bundle you have to buy in full. The two that go hand in hand are Managed IT and Cyber since we do have a minimum level of Cyber Security that we recommend for clients from the outset.
We are a mixed Mac and PC environment. Is that actually a problem?
No – it is one of the reasons clients come to us. Our engineers are trained on both Apple and Microsoft platforms, so a designer on a Mac and a finance team on Windows sit in one managed environment with the same security baseline, the same device management and the same helpdesk.
That includes Macs enrolled properly in Intune rather than left unmanaged outside your security controls, which is where most mixed estates are inefficient. Plenty of London providers support Windows well and treat Macs as an exception. We have supported creative and healthcare marketing agencies on Apple hardware for over a decade.
What happens if we decide to leave? Who owns our documentation and tenant?
You do – and we will put that in writing before you sign, not after. Your Microsoft 365 tenant and licences are your own and we are the Microsoft partner managing it. Your environment documentation, network diagrams and configurations are your property. Our agreement commits us to handing them back in a usable format if you decide to use another MSP or take all services inhouse.
We already have someone doing our IT. Does that rule us out?
Not at all – a meaningful share of our work is co-managed alongside an internal IT manager or a small in-house team. In practice we take on what does not scale for one person: out-of-hours cover, patching, security monitoring, vendor escalation and holiday cover, while your internal person keeps the responsibilities they are there for.
We agree a written split of responsibilities so nothing falls between us. We are there to be a part of the existing team.
We already have an IT provider. What does switching actually involve?
Typically four to six weeks from signature. We run a structured onboarding: a documentation and discovery phase where we audit what you have, then agreed change windows – usually evenings or weekends if required.
Your existing provider’s cooperation helps but is not essential and we will often have an overlap period with the incumbent; we have taken on plenty of environments where handover was minimal but in the majority of cases there is active cooperation. You will have a named onboarding lead throughout and a written transition plan with dates before we start, not a vague promise of care.
You mention "Technology Alignment" - what is that?
It is the part of managed IT that stops problems happening rather than fixing them after they do. We hold every client environment against a written standards baseline – patch levels, backup coverage, MFA enforcement, licensing fit, hardware age, end-of-life software – and review it on a set cycle rather than when something breaks.
Where your environment drifts from the standard, it is logged, prioritised and either fixed as part of the service or quoted as a project. It is also what makes our reporting meaningful: you see the same measures each month and can watch them move. Reactive servicedesk support alone does not do this.
Who will we actually be dealing with day to day?
We work with you to establish the engineers that are best suited to your organisation. This is normally agreed via customer service meetings with your Servicedesk Manager so that you have actively been able to choose who your main technical lead and onsite engineer is. You will gain consistency in the support levels and a clear escalation path for more complex issues. Overall our team is about 28 people so you have access to a full skillset of technicians and we are also small enough to give a personal service and know you business and people well.
Standard support hours are 8am until 6pm, with out-of-hours cover available until 10pm and on weekends. Alternatively, we have a full 24/7 service for clients that have the full requirement.
What happens if we're hit by ransomware?
If a Cloudscape client is hit by ransomware, we move immediately to contain the attack, isolate affected systems, assess the scope of encryption and begin recovery from tested, isolated backups – while supporting you through the notification obligations that follow.
The uncomfortable truth is that recovery quality is decided long before the attack. Businesses that recover in days have immutable, tested backups and a documented environment. Businesses that recover in weeks, or pay, don’t.
We’ve handled real incidents, including full-scale cryptolocker recovery for a professional practice, and the pattern repeats: the entry point is usually something mundane – unlicensed software, an unpatched edge device, a reused password. Our Protect stage exists to close those routes before they’re used.
What is a vCIO, does a firm our size need one?
A vCIO is a senior technology advisor who sits with your leadership team a few times a year rather than sitting in your office full time. Firms of roughly 15 to 100 staff are usually too small to justify a permanent IT director’s salary but far too complex to make technology decisions on instinct – that gap is what the role fills. In practice it means someone who understands your sector’s regulatory position, knows what your competitors are doing, holds a three-year view of your systems, can tell your board what a decision costs before you make it. If your IT conversations only happen when something breaks, a renewal lapses or a new regulation takes you by surprise then the vCIO fills that forward planning gap.
How is this different from Technology Alignment?
Technology Alignment tells you what state you’re in. Business Strategy decides what to do about it. Alignment is the operational discipline – we measure your environment against a written standards baseline every month, so patch coverage, backup success, MFA gaps, hardware age and end-of-life software are all known facts rather than assumptions. The vCIO takes that evidence into your leadership meeting and turns it into a prioritised roadmap with costs attached: what we fix this quarter, what waits until the lease renewal, what needs board approval. One is measurement, the other is decision-making. Alignment without strategy produces reports nobody acts on; strategy without alignment is guesswork with a spreadsheet.
What does AI Advisory actually mean - is this just Copilot licences?
No. Licensing is the easy part and usually the last part. Most firms come to us with AI already in use – staff pasting client material into consumer chatbots, a partner trialling a note-taking tool, a marketing agency using image generation – and no policy governing any of it. So the work starts with finding out what’s actually being used, deciding what’s acceptable for your data and your regulator, writing that down as a usable policy, training people on it. Then we look at where AI genuinely saves time in your specific workflows, which is often narrower and less glamorous than the vendor pitch suggests. Deployment comes after the governance, not before.
Do you use AI on our data, how is that governed?
Yes, in defined ways, we’ll show you the documentation. We use AI internally to improve service delivery – ticket triage, documentation, reporting – under a written AI Acceptable Use Policy that specifies what client data may and may not be processed, by whom, using which tools. We’ve built our AI management framework against ISO 42001, the international standard for AI management systems. If you’re a data controller and we’re your processor, you’re entitled to ask this question of every supplier you have.
Is Copilot worth it for us?
Sometimes, we’ll tell you when it isn’t. Copilot delivers real value where your data is already well organised, permissions are clean and staff have specific repetitive tasks to hand over. It delivers very little where SharePoint is a decade of unstructured folders with inherited permissions, because it will surface things people shouldn’t see and produce weak output from poor source material. So we assess readiness before licensing: permission review, data classification, a defined pilot group and measured outcomes. Plenty of firms we advise are better off spending the first three months fixing their information architecture and buying licences afterwards.
